Job Summary

The Client Service Specialist is responsible for the coordination and support for business-to-business client and patient billing as associated with contracts for client services. This position is responsible for maintaining a continuum of interest and credibility with clients as a representative of Monument Health. Client Service Specialist expedites and enhances patient access to care by scheduling diagnostic outpatient services in real time and financially clear patients prior to date of service. Financial Clearance to include completing insurance verification, pre-certification, authorization, pre-registration, notification to the patient or responsible party of estimated amount due for services provided by both the clinic and the facility, and collection of prepayment.

Job Description

Essential Functions:

  • Effectively uses computerized scheduling for appointments and ancillary services following established protocols. Schedules appointments promptly and courteously and makes all attempts to meet the client’s expectations.
  • Registers and checks in patients verifying accurate demographic data entry at each encounter, to include scanning and verifying photo ID.
  • Responds to telephone calls in a timely manner. Uses professional communication on the telephone and interprets the caller’s needs and offers assistance as evidenced by observation and feedback.
  • Financial Clearance to include completing company authorization, through verification, preform pre-registration, and notification to the patient or responsible party of estimated amount due for services provided by both the clinic and the facility, and collection of prepayment as determined by contract terms.
  • Accurately bills for services related to the patient's visit.
  • Efficiently resolves all assigned work queue items to ensure accurate and efficient claim submission.
  • Accurately post payments to accounts for contracted services.
  • Maintains complete and accurate company profiles and EMR accounts to ensure all critical data elements are obtained and input correctly in required areas to ensure efficient, accurate and complete billing.
  • Works with prospective and contracted client companies to maintain positive and professional business-to-business customer service relations.
  • Demonstrates knowledge of contracted and third party payer information, to ensure compliance with rules and regulations to ensure accurate reimbursement. party payer and
  • Collects prepayments prior to services provided, amount to be determined based on contracted terms for amount due
  • All other duties as assigned.

Urgent Care Location-

  • Complete monthly accounts receivable reports and reviews delinquent account records and attempts to collect on any outstanding accounts.
  • Works collaboratively with the department administrative team to secure and maintain business-to-business contracts and fee schedule pricing.

Laboratory Location-

  • Manages reference lab samples by registering, ordering, and accurately labeling specimens, during the pre-processing step
  • Coordinates off-site draws
  • Gathers missing registration/order information
  • Answers questions related to orders, specimen types, results, etc.
  • Coordinates and transcribes orders for patients
  • Accurately enters results received by Laboratory from send-out reference labs
  • Sends results to providers/clients as needed

Additional Requirements

Required:

Education – High School Diploma/GED Equivalent in General Studies

Preferred:

Experience; 1+ years of Billing/Collections; 1+ years of Scheduling Experience

The Radiology Technologist will work in Level II trauma hospital setting. Performs and is competent in Radiology under the direction of the Radiologist. The Technologist must be able to independently acquire the proper exam for the Radiologist’s interpretation. The Technologist is able to operate all radiological equipment in the proper setting. The Technologist is required to work with patients in age group specific environments: pediatric, geriatric, febrile, in an critical acute care setting; adjusting technique and positions for optimal examinations.

Additionally, the Technologist will be required to perform fluoroscopy examinations in the department and use the c-arm in operating room setting as well as portable exams throughout the hospital. Must be able to cover all areas of imaging as assigned.   • Prepares the patient and the equipment for the upcoming procedure. Educates the patient and/ or family regarding the procedure to be performed. Provides professional age-specific interaction with patients.
  • As appropriate, prepares and administers correct amount of contrast, using aseptic techniques as outlined in the Infection Control manual. Documents appropriately in patients chart. Completed injector training.
  • Provides learning environment and provides exceptional customer service to all.  Friendly, cheerful and helpful to patients and others. Ability to meet patients and others needs while following office policies and procedures in person and on the telephone.

Job Description

Universal Essential Functions:

  • Collaborate with healthcare providers, clinical staff, and various departments throughout Monument Health as well as with the patient to secure necessary authorization for services while maintaining compliance with all regulatory requirements.
  • Accurately verify patient insurance eligibility and benefits coverage, utilizing tools such as Electronic Health Records (EHR), add-on software, direct payer websites, and telephone or fax communications to ensure accurate reimbursement and compliance.
  • Assess service requests to determine the need for pre-certification, pre-authorization (procedure or medication), or referrals, and communicate effectively with relevant stakeholders to secure approvals prior to the date of scheduled services.
  • Maintain a strong working knowledge of various insurance payers, payer plans, and program contract requirements to facilitate appropriate insurance verification and authorization processes.
  • Continuously meet competency requirements to sustain the necessary skills, knowledge, and abilities for role-specific functions, while adhering to productivity and quality performance standards.
  • Create a positive service experience by being polite, compassionate, and professional with all internal and external customers.
  • Document pre-authorization information accurately in the EHR system, ensuring that services scheduled by internal and external providers meet all financial clearance criteria and have approved authorization in the time allowed by the payers and programs to prevent denial or penalty assessment.
  • Engage with departments and clinical staff to communicate the need for pre-authorizations or referrals promptly, working to prevent delays in patient care. May include requests for assistance with managing appeals as well as the facilitation and coordinating peer-to-peer reviews when needed.
  • Identify high-risk requests that may require financial assistance and counseling and assist patients by providing guidance on available resources, financial assistance, or payment arrangements.
  • Advocate for patients and providers by addressing challenges related to pre-authorization approvals and denials, working closely with leadership to resolve issues and ensure compliance with financial clearance policies.
  • Provide backup support for Patient Admissions and Registration as needed

Essential Functions for Medication Authorization and Assistant Specialist:

  • Confirm prescription coverage and coordinate prior authorization, including collecting and submitting required clinical documentation (i.e. provider notes, labs and treatment history)
  • Stay up to date on patient assistance programs and guide patients through required application documentation.
  • Coordinate with providers and nursing staff to obtain required signatures and documentation from patients and providers
  • Serve as a patient advocate by regularly communicating with pharmaceutical companies, providers and patients.
  • Act as primary contact for patient inquiries about medication authorizations and assistance programs.
  • Monitor assistance medications to ensure timely delivery and continuous patient access.
